The challenge
Egoli Southern African Destinations takes pride in providing clients with well-structured, informative itineraries and precise documentation. However, creating these detailed travel documents was extremely time-consuming. “We had one full-time employee solely focusing on putting together travel documents. She would create around five or six itineraries a day, in a Word or PDF format, without pictures,” explains Oskar Brown, co-owner, Egoli.
“We realised this wasn’t the most efficient way to go about it,” Oskar says, adding that, during the COVID-19 pandemic, Egoli changed how their documentation department was run to free up their employees’ time for other tasks. “We knew that, without a full-time documentation department, we would have to use a tool to put our documentation and itineraries together,” he adds.
In addition to improving efficiency, Egoli also wanted to adapt its business to the future of travel and modernise its approach to cater to tech-savvy travellers who increasingly expect interactive and visually engaging content in their travel documents.
The solution
In 2022, Egoli Tours embarked on a digitalisation and automation journey. The goal was not only to streamline the production of itineraries but also to enhance the experience for end users. Egoli wanted to offer more than a thesis of travel plans–it envisioned interactive itineraries with rich digital media and personalised recommendations.
“We were moving away from manual, word-based itinerary creation and adopting more sophisticated booking software like Tourplan, which offered integration capabilities with platforms like Wetu,” Oskar explains.
Egoli signed up with Wetu in 2022 and has been using it ever since to create itineraries that are “beautiful and wonderful and nice to look at” for their clients. “We’re merging our strength in information, built over the last 40 years, with the beautiful images and design that Wetu can provide,” Oskar notes.
